Screening Your Reports

One of the easiest things you can do in Sage Accpac to save paper and peace of mind is to Screen Your Reports. What do I mean by "Screen Your Reports," you ask?

In Accpac, you can set the print destination to "Screen". This can be found in the main Accpac window (I.e. System Manager) under File > Print Destination.

By setting the Print Destination to Screen, you will get an on-screen preview of the report you are printing. You can flip through pages on screen before deciding to print them out.

The key benefits of doing this are:

- You get an opportunity to "screen" the reports you print. I.e. Is this the report you meant to print? Did you mean to print out ALL orders? Or just a range? Or one or two? If not, simply try again and once the desired report is on-screen, then hit the Print button at the top left of the preview window. This, obviously, saves paper, toner, and printer resource availability.

- You can also check for accuracy. Perhaps you didn't notice while entering a Purchase Order that you have not selected the correct ship to address. Now you can fix that mistake without wasting paper - and risking that erroneous PO being sent to your vendor.

- You can save this report in many different formats from within the Preview windows (it's the button next to the Printer button that looks lie a diskette) including PDF, to be emailed or simply to save electronically for archival purposes.

While we may never truly get there, this is a step in the right direction for a company moving toward the proverbial "paperless office".

PS: If you can't remember if your Print Destination is set to screen or not, there is an icon at the bottom right of your main Accpac window indicating your current print destination. The "Preview" destination icon looks like a blank piece of paper with a magnifying glass in front of it.

Sometimes the most simple and obvious things can be the most helpful. Great article.
